Purpose Statement

At Football’s Finest Coaching, our mission is to inspire and develop young players through the power of sport. We encourage every child to aim for their best, while fostering respect, teamwork, and good sportsmanship.

Our focus goes beyond just football skills — we use sport as a platform to help players grow personally, teaching resilience, creativity, leadership, and confidence that will benefit them in all areas of life.

Each session, drill, and game is designed to build the physical and mental abilities of our players, helping them stay sharp, think ahead, and develop determination both on and off the pitch.

These Terms and Conditions apply to all Football’s Finest Coaching activities, including weekly classes, matchdays, holiday camps, and birthday parties.

General Terms

Please read all terms, conditions, and policies together as they collectively form the agreement between you and Football’s Finest Coaching.

A place on our programmes is offered on the condition that these Terms and Conditions are respected.

We reserve the right to modify, suspend, or discontinue any of our services—including coaching sessions, camps, or events—at our discretion.

All content on our website is owned by Football’s Finest Coaching or used with permission, protected by copyright. You may not reproduce or use any content without our explicit consent, unless allowed by law.

Website information may be updated at any time without prior notice. While we strive for accuracy, the details provided are for general guidance only and may not reflect the most current information.

Football’s Finest Coaching and our website provider are not liable for any issues caused by the use of the site, including technical faults or interrupted access. It is your responsibility to ensure any services or content meet your needs.

Our site may include links to third-party websites, which are not endorsed by us. We recommend reviewing the privacy and security policies of these external sites before sharing personal details.

Booking

All bookings for weekly sessions, camps, matchdays, and parties must be made through our online system, JoinIn (managed by LoveAdmin). You will create an account under your name and register your child accordingly. Please review JoinIn’s own Terms and Conditions when signing up.

Complete registration details are required before a booking can be confirmed.

Bookings are subject to availability and acceptance by Football’s Finest Coaching. Reasons for refusal may include age restrictions, ability levels, incomplete registration, or missing payment information.

Bookings are specific to the registered participant and cannot be transferred to another player.

We reserve the right to increase fees for sessions, camps, and matchdays with a minimum of 30 days’ notice prior to the next payment cycle. Please see the Right to Cancel section for options if pricing changes occur.

Party bookings require a non-refundable deposit once availability is confirmed.

 

Payments

Weekly Sessions

Payments are collected monthly in advance by direct debit on the 1st of each month. Other payment methods are not accepted. A valid direct debit must be active on your JoinIn account to secure a booking.

JoinIn uses secure, PCI DSS-compliant payment providers. Please review their Terms and Conditions when setting up your payment details.

Fees for weekly sessions are spread evenly across 12 months, including accounting for holidays such as Christmas and New Year closures, so the amount is consistent monthly regardless of session count.

If a payment fails, you will need to make a one-off card payment. We may apply an administrative fee and suspend attendance until payment is made.

If two or more monthly payments remain unpaid, we may withdraw your child’s place. The balance remains payable regardless of attendance. Reinstatement is possible if payment is cleared and space allows; otherwise, your child will be placed on a waiting list.

Camps and Matchdays

Full payment is required at the time of booking to reserve your child’s place.

Parties

A deposit is required when booking, with the balance due 14 days before the event date.

Cancellations

We aim to give advance notice of cancellations, but sometimes last-minute changes are unavoidable due to unforeseen events. We are not responsible for any inconvenience or losses caused by cancellations.

Our main communication channels are WhatsApp groups and email. It is your responsibility to keep your contact details updated. You will be invited to join the WhatsApp group relevant to your child’s session. If you opt out, you may miss urgent updates or cancellations.

Weekly Sessions

Sessions run year-round except for our annual Christmas break, which is already factored into fees.

For planned cancellations, such as public holidays, your monthly direct debit will be adjusted accordingly.

We may change session formats, duration, or venue (e.g., moving indoors or shortening due to weather) for safety reasons. Refunds will not be given for such adjustments.

Refunds will NOT be issued for cancellations caused by events outside our control, such as extreme weather, facility closures, strikes, or public health emergencies.

If a refundable cancellation occurs unexpectedly, a credit will be applied to your next payment.

Camps

If we must cancel a camp due to reasons beyond our control, we will issue a voucher equal to the amount paid to be used against a future event. No cash refunds will be given.

Parties

If a party is cancelled due to coach illness or similar, we will offer a reschedule or refund. We are not liable for any other expenses resulting from cancellation.

Absences

Exceptional cases, such as medical issues, may be considered for refunds at our discretion on a case-by-case basis.

Right to Cancel

Weekly Sessions

Your child’s place is reserved provided payments are current. See Payments section for details.

To cancel your place, you must give at least 14 days’ notice before the next direct debit date (1st of the month). This allows us to manage spaces effectively.

All attended sessions remain payable. No refunds are given for unused sessions.

Camps

Bookings are non-refundable. If you give at least 14 days’ notice, you may be eligible to transfer your booking to a future camp or matchday, subject to availability and our approval.

Less than 14 days’ notice means no refunds or transfers.

Parties

Cancellations made between 8-14 days before the party will be refunded 50% of the remaining balance (deposit excluded). Cancellations within 7 days of the party are non-refundable.

Code of Conduct and Behaviour

At Football’s Finest Coaching, we strive to maintain a positive, safe, and welcoming environment for players, families, and staff.

We have a clear Code of Conduct, and any inappropriate behaviour will be addressed following our Behaviour Support Procedure.

By registering, parents, guardians, and players agree to follow this Code of Conduct and accept the Behaviour Policy as applied.

Please ensure your child understands the expected behaviour standards.

Parental Supervision

A parent or guardian should be present during all sessions except camps. It is your responsibility to ensure your child’s safety at all times.

Players should be dropped off promptly at the session start and collected immediately after.
Football’s Finest Coaching cannot be held responsible for children who leave unsupervised.

For camps, parents must hand over and collect their child directly to/from the coaching staff.

Code of Conduct Summary

Players must:

  • Show respect to coaches, staff, and other players
  • Follow instructions carefully
  • Play safely and responsibly
  • Care for equipment and facilities
  • Avoid inappropriate language or behaviour

Any misconduct from players or their families may result in removal from sessions or
programmes.

Behaviour Support Procedure

We manage behavioural issues through the following steps, applying them as necessary:

1. Friendly Reminder

A coach will verbally remind the player of our Code of Conduct, encouraging positive behaviour.

2. Parental Contact

If behaviour continues, we will speak to the parent or guardian to explain and seek support.

Note: In some cases, players may be asked to leave early. No refunds are provided for missed
time.

3. Monitoring Period

Ongoing issues will lead to a monitored behaviour phase, with close observation and parental updates. This is a final chance to improve.

4. Temporary Suspension

If behaviour fails to improve, a three-month suspension from all Football’s Finest Coaching activities may be imposed.

5. Conditional Return

After suspension, the player may return for a probationary period. Further issues may result in permanent removal without refund.

Medical Conditions & Special Requirements

Please complete medical details when registering your child. Inform us of any conditions, allergies, or needs to keep everyone safe.

You are responsible for updating us if information changes.

By registering, you confirm your child is fit to participate and accept the inherent risks of physical activity.

Our qualified first aiders will provide assistance if needed and seek further medical help as necessary.

For unattended sessions, ensure we have up-to-date contact information and emergency contacts reachable during the session.

If booking parties, inform us of any medical or special needs for attending children.

Safeguarding Policy

Football’s Finest Coaching is committed to protecting every child’s wellbeing.

We follow strict safeguarding principles ensuring children are safe, respected, and protected from harm.

Liability Limitation

We take care in delivering our services, but Football’s Finest Coaching and staff are not liable for injury, loss, or damage sustained during sessions, except as required by law.

Participation is at your own risk; please ensure your child is fit and properly equipped.

We do not accept responsibility for personal belongings lost or damaged during activities.

Equipment Use

You may be charged for repair or replacement if equipment is damaged due to careless or intentional actions, excluding normal wear and tear.

Data and Privacy

Your personal data is collected and processed via JoinIn, operated by LoveAdmin, which complies with security standards.

We use your data only to manage bookings and communicate with you. It is never shared without consent except where legally required.

If ownership of Football’s Finest Coaching changes, your data may be transferred to new owners with appropriate safeguards.

Photography & Video

We may capture photos or videos during sessions and events to use for promotion and training.

If you do not want your child included in these materials, please notify us by email.

Changes to Terms

We reserve the right to update these Terms and Conditions at any time. Significant changes will be communicated to parents and guardians in advance, and continued participation in our programmes will be deemed acceptance of the revised terms.
